System & Client Getting 1.2

This article covers how to prospect local businesses via cold email using personalized, pain-point-driven messaging and simple lead-generation tools.

Positioning & Core Principles

Cold emailing works when you balance detail with brevity. If your email is too high-level, it sounds like every other "free audit" offer. If it's too long, busy owners won't read it.

Choosing a Pain Point

Growbotik solves many problems, but your email should focus on one angle. Common pain points to test:

  • Not knowing the real cost to acquire a client.

  • Lack of a holistic view of marketing spend vs. actual ROI.

  • No predictable revenue — marketing feels like guesswork.

  • Wasting hours with marketers who never deliver a clear path to growth.

Tip: You won't know which pain point a specific prospect feels, so plan to send multiple emails to the same contact with different angles.

Why Follow-Up Is Non-Negotiable

Only 3–5% of prospects are actively in-market at any given time. Another small percentage is planning for it soon. The rest aren't ignoring you because your email is bad — they're simply focused on something else right now, or they opened your message on mobile and got distracted.

Send more than one email. Follow-ups let you:

  • Test different pain points.

  • Catch busy people when they finally have a moment to read.

  • Stay top-of-mind for those entering the market.

Lead Generation & Prospecting Workflow

You do not need mass-email scale. The goal is small, targeted outreach:

  • 3–5 businesses a day click your chat link.

  • 1 of them completes the chat and generates a growth plan.

  • That yields roughly 20 growth plans per month, leading to a couple of conversions.

Finding Contact Data

You can use any lead database or scraping tool you prefer. Examples include:

  • Apollo

  • Insightly

  • Lemlist

  • Leadscraper (available to many Umbrella/Growbotik members)

Example Workflow with Leadscraper

  1. Run a search for your niche + city (e.g., Roofing in Los Angeles).

  2. Let it run for ~20 minutes.

  3. Review the results and cherry-pick the best contacts.
Example: If one company returns five people, prioritize the VP of Marketing over the General Manager or unknown titles.

  4. Export the top 5–10 contacts and email them directly.

  5. Rinse and repeat daily — same niche in a new city, or a new niche in the same city.

Note: Even a single run in a large city can yield 80+ unique companies with dedicated emails (not catch-all addresses). That's more than enough for a week's worth of targeted outreach.

Influencer vs. Direct Email: Which Is Right for You?

Factor

Direct Cold Email

Influencer / Community

Persistence type

Sending more emails, scraping more leads

Posting more content, joining more groups

Networking leverage

One-to-one

One-to-many (group admins can broadcast to entire communities)

Delegatability

Easy to hand off to a VA or junior partner

Harder to outsource; requires your voice and presence

Best for

Prospecting discipline, immediate outreach

Long-term authority, partnership deals

You may resonate with one or both. Direct email is easier to systemize, while community building can create exponential reach when you partner with group admins.

Critical Setup & Logistics

The Link to Send

For direct cold email, do not use a landing page. Just send prospects directly to your chat link.

Your chat link is found in your agency dashboard:

  1. Go to Prices.

  2. Select/create your pricing group (e.g., 50% markup).

  3. Copy the generated link.

  4. Use that link in your emails and on your website's "Get More Clients" button.

Why no landing page? In cold outreach, adding a landing page between the email and the chat creates unnecessary friction. The chat itself is the destination.

Lead Tracking

Every marketing plan carries a Partner ID and Plan ID. When a prospect books a call or reaches out via Talk to Human, the sales team automatically knows which agency owns that plan. No manual tagging is required.

White-Label Website

Your white-label website and agency video are available on your Growbotik site and on growbotik.com. (Note: A dedicated business-facing video is in development.)

Contracts, Terms & Execution

The Built-In Contract Flow

When a client enters execution and pays, they check a box agreeing to your terms and conditions. This functions as the contract.

The system automatically records:

  • The exact marketing plan they purchased.

  • The first-month payment amount.

  • Their acceptance of your terms.

This creates a smoother experience than generating separate documents for every close. If you prefer a custom agreement, you can create one, but the built-in flow is designed to protect you with less friction.

Setting Up Your Terms

  1. Download the Terms & Conditions template from your dashboard.

  2. Customize it for your agency.

  3. Upload it to your website or paste the link in Agency Settings > Invoice Configuration.

  4. The privacy policy can link to the same document, or you can create a separate one.

Sales Team Closing (Done-For-You)

If a prospect wants validation before closing, Growbotik's sales team can step in.

  • How it works: You opt in via DocuSign (starts next week). When a prospect requests human contact, the team handles validation and closing.

  • Commission: The sales team takes a 20% commission from your side of the deal.

  • Tracking: Because the plan is tied to your Partner ID, attribution is automatic.

Training Resources & Replays

  • Full replays: Available in the Agency Hub Help Center > Live Webinar Replays.

  • Chopped segments: Long trainings are broken into short, topic-specific videos (e.g., Dashboard Overview, Settings, Prospecting) so you don't need to watch a full two-hour session.

  • This document: Shared via email and added to the Help Center after each session renders.

Your Daily Action Plan

  1. Choose a niche and city (e.g., HVAC in Dallas, Roofing in Phoenix).

  2. Generate 5–10 targeted leads using your preferred tool.

  3. Pick one email template and personalize it for each contact.

  4. Send the email with your direct chat link.

  5. Follow up in 2–3 days with a different angle if there's no reply.

  6. Repeat every business day.

Frequently Asked Questions

Q: Should I send prospects to a landing page or directly to the chat? A: For cold email, send them directly to the chat link. Landing pages are useful for inbound traffic (ads, social), but in cold outreach they add unnecessary steps.

Q: How does the sales team know a lead came from me? A: Every marketing plan is tagged with your Agency ID and Plan ID. When a prospect books a call, the system automatically associates it with your account.

Q: Can I add a tracking pixel to my Growbotik page for PPC traffic? A: Yes, you can add pixel tracking to measure conversions.

Q: Is there a generic contract I can send clients? A: The terms and conditions template in your dashboard serves as the contract. It is automatically presented during the execution checkout flow alongside the specific marketing plan. You may create your own agreement if you prefer.

Q: Can I have different booking links for different pricing groups? A: No. The Talk to Human button pulls from the single phone number/link configured in your Agency Settings.

Q: What link do I use for my website's "Get More Clients" button? A: Use the chat link generated inside your Prices section for your chosen pricing group/markup.
